# Delete, remove, or restore a CoDraft

> Delete a CoDraft, take it out of a Workspace, hide it from Workspace search, remove collaborators, and restore it from Archive.

You can get a CoDraft out of your way in several ways. Only some of them delete the document. This page covers CoDrafts you created yourself, CoDrafts shared with you, and CoDrafts in a Workspace.

## Choose the right action

Workspace roles that can delete content are **Owner**, **Admin**, and **Editor**. **Viewer** can't delete. Sharing a CoDraft with someone, even with **Can edit** access, doesn't let them delete it.

<Note>
  Deleting is reversible for 30 days. Every delete confirmation says the CoDraft moves to Archive and how long you can restore it. The only permanent step is **Delete forever** in Archive.

## Delete a CoDraft you own

Use this for any CoDraft you created, whether or not it belongs to a Workspace.

    Click **CoDrafts** in the sidebar. Select the **My CoDrafts** tab to show only CoDrafts you own.

  <Step title="Delete the CoDraft">
    Find the CoDraft and click the trash icon on its row.
  </Step>

  <Step title="Confirm">
    The **Delete the CoDraft?** dialog explains that the CoDraft moves to Archive and that you can restore it for 30 days. Click **Delete CoDraft**.

Sofie shows **CoDraft deleted successfully** and moves the CoDraft to Archive.

You can also delete a CoDraft from other places:

* **Recents**: Open the **...** menu on the CoDraft and click **Delete**. Recents only lists CoDrafts you own.
* **Several at once**: On the **CoDrafts** page, select the CoDrafts and click **Delete** in the selection toolbar. If you select a CoDraft you don't own, **Delete** is turned off and shows **Only items you own can be deleted**.
* **Chat**: Ask Sofie to delete or archive the CoDraft. The same permissions apply. Sofie confirms when the CoDraft has moved to Archive.

  You can't delete a CoDraft from inside the editor. Use the **CoDrafts** page, **Recents**, or the Workspace page.
</Note>

## Delete a CoDraft in a Workspace

Workspace members can delete a CoDraft from the Workspace page, even if they don't own it. You need the **Owner**, **Admin**, or **Editor** Workspace role. **Viewer** can't delete, one item at a time or in bulk.

    Find the CoDraft and open its menu.

    Click **Delete**, then click **Delete** again to confirm.

The CoDraft goes to Archive. Everyone in the Workspace loses access, and so does everyone it was shared with.

If you delete a teammate's CoDraft, it appears in your Archive as well as theirs. You and the owner can both restore it or delete it forever.

If you only want the CoDraft out of the Workspace, use [Remove a CoDraft from a Workspace](#remove-a-codraft-from-a-workspace) instead.

## CoDrafts shared with you

If someone shares a CoDraft with you, it appears on the **Shared with me** tab of the **CoDrafts** page. The row shows **Shared** and **Shared by** with the owner's name.

As a collaborator:

* You can't delete a shared CoDraft, even with **Can edit** access. The trash icon doesn't appear on shared rows.
* You can't change its Workspace from the **CoDrafts** page.
* You can't share it with others or remove other people's access.
* You can't remove yourself from a shared CoDraft. There is no leave option. To lose access, ask the owner to remove you.

If the CoDraft is in a Workspace where you have the **Owner**, **Admin**, or **Editor** role, you can delete it from the Workspace page. See [Delete a CoDraft in a Workspace](#delete-a-codraft-in-a-workspace).

If someone else deletes a shared CoDraft, it disappears from your list and appears in your Archive as **View only**. Ask the owner or the person who deleted it to restore it.

## Remove a CoDraft from a Workspace

Remove a CoDraft from a Workspace when it no longer belongs there but you still need the document. The CoDraft stays in the owner's **CoDrafts** list. A CoDraft belongs to at most one Workspace, so removing it takes it out of Workspaces entirely.

You can remove a CoDraft from a Workspace if you own it, or if you have the **Owner**, **Admin**, or **Editor** role in that Workspace.

    On the CoDraft's row, open the Workspace menu.
  </Step>

  <Step title="Remove it">
    Click **Remove from workspace**.

Sofie shows **Removed from workspace**.

You can also use the **Move to workspace** submenu in **Recents**, or the **Workspace** button in the CoDraft editor. If you don't own the CoDraft, use the **Workspace** button in the editor. To move a CoDraft into another Workspace instead, pick that Workspace from the same menu.

After you remove a CoDraft from a Workspace:

* Workspace members lose access unless it was also shared with them directly.
* People you shared it with directly keep their access.
* Sofie stops using it as Workspace context.
* If you don't own the CoDraft and it isn't shared with you directly, you lose access too.
* Only the owner can add it to a Workspace again. They need a Workspace role that can add content.

## Hide a CoDraft from Workspace search

Exclude a CoDraft from Workspace search when it should stay in the Workspace but Sofie shouldn't use it as a source. This works well for superseded drafts or scratch documents.

    Find the CoDraft and open its menu.
  </Step>

  <Step title="Exclude it">
    Click **Exclude from workspace search**.
  </Step>

Sofie shows **Document excluded from workspace search**. To undo, open the same menu and click **Include in workspace search**.

This setting applies to everyone in the Workspace. Workspace members can still open the CoDraft. There is no way to hide a CoDraft from only your own view or search.

## Remove someone's access

The owner controls who a CoDraft is shared with.

    Under **People with access**, click the **X** next to the person. The tooltip reads **Remove access**.

Sofie shows **Removed access for** followed by the person's name. The CoDraft disappears from their **Shared with me** list.

Removing a direct share doesn't remove Workspace access. If the CoDraft is in a Workspace the person belongs to, they can still open it. Remove the CoDraft from the Workspace, or change their Workspace membership, to fully remove access.

## Restore a CoDraft from Archive

Archive holds deleted items for 30 days. After 30 days, Sofie permanently deletes them.

    Search by name or sort by **Oldest deleted**. CoDrafts are labeled **CoDraft** under the name.

    Click **Restore** on the row. To restore several items, select them and click **Restore** in the selection toolbar.

The CoDraft goes back to its original Workspace and folder:

* If the original folder no longer exists, it goes back to the root of the Workspace.
* If the original Workspace no longer exists or you're no longer a member, Sofie asks you to choose a Workspace in **Choose a restore location**.
* If the CoDraft wasn't in a Workspace, it is restored without one.

Deleting a CoDraft excludes it from Workspace search. Restoring it includes it again, unless it was already excluded before it was deleted.

If a row shows **View only**, you can see the item but can't restore or delete it. Ask the owner or the person who deleted it. Collaborators see **View only**, even with **Can edit** access.

## Delete a CoDraft forever

Delete a CoDraft forever when it must not be restored.

<Warning>
  You can't recover a CoDraft after **Delete forever**. Check that no one needs the document, its comments, or its revisions before you confirm.
</Warning>

## What happens to collaborators, links, and history

Deleting a CoDraft doesn't delete the Workspace files, chats, or CoMeetings you used to write it. Earlier chat answers that drew on the CoDraft still show the text Sofie wrote, but you can't open the CoDraft from them.

## Troubleshooting

  <Accordion title="I don't see a trash icon on a CoDraft">
    The CoDraft is shared with you, so you can't delete it from the **CoDrafts** page. Check the **Shared by** name on the row, then ask the owner. If the CoDraft is in a Workspace where you can delete content, delete it from the Workspace page instead.
  </Accordion>

  <Accordion title="Delete is turned off in the selection toolbar">
    Your selection includes a CoDraft you don't own. Clear those items from the selection, or ask their owners to delete them.
  </Accordion>

  <Accordion title="I don't see Delete in the Workspace item menu">
    Your Workspace role can't delete content. Ask a Workspace **Owner** or **Admin** to delete it, or to change your role.
  </Accordion>

  <Accordion title="I see &#x22;Only the CoDraft owner or someone who can delete files in its workspace can delete it&#x22;">
    You don't own the CoDraft, and you don't have a Workspace role that can delete content in its Workspace. Ask the owner, or ask a Workspace **Owner** or **Admin**.
  </Accordion>

  <Accordion title="I see &#x22;Only the CoDraft owner or someone who can delete files in this workspace can move it out&#x22;">
    You need to own the CoDraft, or have the **Owner**, **Admin**, or **Editor** role in its Workspace, to remove it from the Workspace or move it to another one. Ask the owner or a Workspace **Admin**.
  </Accordion>

  <Accordion title="I see &#x22;You don't have permission to add documents to that workspace&#x22;">
    Your role in the destination Workspace can't add content. Choose a different Workspace, or ask a Workspace **Admin** to change your role.
  </Accordion>

  <Accordion title="A link to a CoDraft shows &#x22;Document unavailable&#x22;">
    The CoDraft was deleted, or you don't have access to it. Sofie shows the same page in both cases. Check your Archive, or ask the owner to share it with you.
  </Accordion>

  <Accordion title="A deleted CoDraft isn't in my Archive">
    Archive shows CoDrafts you own, CoDrafts shared with you, and CoDrafts you deleted. If you had none of these, ask the owner to check their Archive. Items are permanently deleted after 30 days.
  </Accordion>

  <Accordion title="I can't restore a CoDraft that was shared with me">
    Only the owner and the person who deleted the CoDraft can restore it. Collaborators see **View only**, even with **Can edit** access.
  </Accordion>

  <Accordion title="I want to stop seeing a CoDraft that was shared with me">
    You can't remove yourself from a shared CoDraft. Ask the owner to remove your access.
  </Accordion>
