Email signatures let Sofie include your preferred signature when you prepare CoDraft emails.
Open the user menu, choose Account Settings, then select Email.
Signature modes
| Mode | Use it when |

| Builder | You want Sofie to generate a structured signature from fields. |
| Custom HTML | You already have a signature from Gmail, Outlook, or another generator. |
Create a signature with Builder
Open Email settings
Go to Account Settings and choose Email.
Choose Builder
Select Builder if it is not already selected.
Review default details
Confirm your name, title, company, and other fields available in the builder.
Enable the signature
Turn on the signature if you want it included in CoDraft emails.
Save
Save the signature and preview it before using it in a message.
Use a custom HTML signature
Choose Custom HTML
Switch the mode to Custom HTML.
Paste signature HTML
Paste the signature markup from your email tool or approved generator.
Preview
Review the rendered preview.
Enable or disable
Decide whether the signature should be used in CoDraft emails.
Save signature
Save only after the preview looks correct.
Custom HTML may render differently across email clients. Preview it in Sofie and send a test message if your organization requires a specific format.
When the signature appears
Your signature is intended for CoDraft email workflows. It does not automatically change:
- Your account name.
- Workspace membership.
- CoDraft authorship.
- Notification emails.
- External email client settings.
Review before sending
Before sending or preparing a CoDraft email, check:
- Signature is enabled.
- Name and title are current.
- Company details are correct.
- Links and phone numbers are accurate.
- The signature does not include outdated regulatory, legal, or confidentiality text.
If your organization requires a standard signature, use the approved version from your IT, legal, or communications owner.
