Chat actions and tools reference

Sofie chat can answer directly, gather context, create artifacts, edit artifacts, run workflows, generate files, and prepare external actions when those capabilities are available to your account. You do not need to know an internal tool name. Tell Sofie the outcome you want, name the source material, and say how you want the result reviewed or saved.

Available actions depend on your organization, enabled features, connected apps, selected context, and your permissions. If an option is missing, ask your Sofie administrator whether it is enabled for your account.

How Sofie chooses an action

Sofie looks at several signals before acting.

Signal	What it changes
Your verb	`search`, `analyze`, `create`, `edit`, `run`, `save`, and `ask me first` steer Sofie toward different actions.
Selected context	A selected Workspace, CoDraft, CoSheet, CoMeeting, Orchestration, Saved prompt, or plan makes related actions more likely.
Search settings	Workspace search, Web search, Deep research, Sofie Guide, and Plan Mode change how Sofie gathers context.
Current page	Sofie Everywhere can use the page you are viewing as active context.
Permissions	Sofie can only act on content and connected apps your account can access.
Feature availability	Some features appear only when your organization enables them.

If Sofie does not choose the capability you expected, name it directly: Use Workspace search, create a CoDraft, analyze this CoSheet, run this Orchestration, or ask me before saving.

Search and source actions

Use search actions when the answer should be grounded in evidence instead of only the current chat.

One-time file review	Attach the file directly to the chat.

Current public information	Turn on Web search.
Broader public source gathering	Turn on Deep research.
Meeting discussion	Add a CoMeeting or ask Sofie to search meetings.
Spreadsheet evidence	Add a CoSheet, selected range, or spreadsheet attachment.

Good prompt:

Use Workspace search in the PPQ Workspace. Find source material for sampling rationale. Return source, section, finding, assumption, and open SME question.

Ask for source boundaries when the answer matters:

Use only the attached deviation summary and the selected Workspace files. Do not use Web search. Separate confirmed facts from assumptions.

Advanced file and sandbox actions

Use these actions when a normal chat answer is not enough.

File Studio is the right correction when you need a downloadable generated file. File Query is the right correction when Sofie needs to inspect what is inside a file.

Good File Studio prompt:

Use File Studio to create a PowerPoint file from this source-backed summary. Include an appendix for assumptions and missing evidence. Return the download link.

Good File Query prompt:

Use File Query to inspect the figures and tables in this PDF. Summarize only what is supported by the file.

Good chart and diagram prompt:

Create a flowchart for the deviation triage process. Include intake, impact assessment, containment, investigation, CAPA decision, QA review, and closure. Mark decision points clearly.

Good Image Generation prompt:

Create a clean technical illustration for internal training. Show a simplified fill-finish process with four stages. Avoid small text, logos, patient data, and claims that the process is approved.

Artifact actions

Use artifact actions when the output should become something you can open, edit, share, or reuse.

Orchestration	Find, run, build, edit, test, publish, or review a repeatable workflow.
Template	Create or fill a reusable document structure.
Sequence	Schedule an Orchestration to run once or on a recurring cadence when enabled.
File Studio output	Generate a downloadable Office file or transformed data file when no dedicated Sofie editor is the right destination.

Good prompt:

Create a CoDraft investigation outline from this evidence table. Save it to the deviation Workspace only after I approve the title, outline, source set, and assumptions.

Connected app actions

When connected apps are enabled, Sofie may help with sources and actions outside Sofie. Examples include:

Finding files in a connected drive.
Reading email or calendar context.
Preparing an email draft.
Updating a CRM or task record.
Importing useful files into a Workspace.

Review connected app actions before they run. Check recipients, dates, record names, field values, attachments, and whether the action should happen now.

Use this pattern:

Find the related Salesforce account record and summarize open quality follow-ups. Do not update any record unless I approve the exact fields first.

Review and handoff actions

Sofie may pause when it needs your judgment or when the next step affects shared work. Common pause points:

A plan is ready to execute.
A source choice is ambiguous.
A CoDraft, CoSheet, Workspace, Template, Sequence, or Orchestration will be created.
A result will be saved to a shared Workspace.
A connected app action may create, update, send, or delete something.
An Orchestration or Sequence needs human review.

You can request review points directly:

Pause before writing any conclusion. Show the evidence table first.

Ask me before saving the CoDraft to the Workspace.

Ask me before running the Sequence or changing its schedule.
